The Loch Lomond Property Owners Association is seeking an Administrator to support the Board of Directors and the Loch Lomond community. Our ideal candidate would have a passion for our community, prior administrative experience, an understanding of water safety, and the ability to problem-solve and get answers. Roles and responsibilities include but are not limited to:
- Maintaining all grounds and equipment:
- Establish and maintain relationships with contractors such as lake sprayers, landscapers, waste management, portable toilet company, handyman and other services as needed.
- Seek bids for contracts and keep bid history and contract information on file.
- Request and keep a copy of proof of insurance coverage for contractors
- Oversee contracted projects, and refer all final approvals to appropriate Board members.
- In conjunction with appropriate board member, order, purchase and supply necessary materials as directed.
- Managing lifeguards:
- Interview and hire guards.
- Hold weekly guard meetings during season.
- Oversee lifeguard direct deposit process for compensation.
- Collect time sheets and present to management company.
- Supporting the function of the LLPOA board:
- Reserve facilities for any meetings/events requiring such.
- Perform an orderly on-boarding meeting for new board members.
- Attend board meetings and present an Administrator’s report monthly.
- The following tasks are examples of items that would be included in monthly report/statistics:
- Check LLPOA mailbox weekly.
- Receive, respond, and record all phone calls from members, directors and outside sources.
- Receive requests for picnics and add to online calendar. Address any issues with picnics and return deposits.
- Process applications and deposits.
- Manage beach access keycards.
- Order membership tags and boat stickers.
- Collaborate with President and Treasurer on all expenses. Whenever possible, inform them immediately of any expenses.
- Collaborate with the Secretary and management company to facilitate mailings and email sends as necessary.
- Manage website updates through WordPress as directed by the board.
- Managing records retention, both physical and digital:
- Ensure all appropriate insurance policies are in force, and documents are retained properly.
- Furnish inspection report files to members and directors when requested.
